FAQ

Who should complete this?
An owner, ops manager, office manager, or senior admin who knows hours/holidays, phone routing/escalation, scheduling rules, and business policies.
Why is this questionnaire so detailed?
This AI receptionist will answer real customers on your phone line. Incomplete or incorrect inputs can create operational risk (missed leads, bad routing, bad bookings) and potential compliance risk.
How long will this take?
Typically 30–60 minutes, depending on how prepared you are (hours/policies/pricing/hand-off rules).
Can I skip questions I don’t know?
If you don’t know an answer, write Unknown/TBD. Unknown or ambiguous items will be treated as BLOCKERS for go-live.
Understanding what happens to your phone system when you add an AI receptionist
This explains how your business phone number, phone system, and call handling are affected when you introduce an AI receptionist.
What happens to my existing phone number when I add an AI receptionist?
In most cases, your existing business phone number remains the same. Customers continue to dial the same number. What changes is how the call is handled once it reaches your phone system.
Does every business need to move or “port” their phone number?
No. Whether porting is required depends on your current phone system and how you want the AI to function. Modern VoIP/cloud systems can often route or forward calls to the AI without porting. Traditional landlines or older phone systems usually require porting to enable AI call handling.
What does porting a phone number involve?
Porting is a standard telecom process that transfers your existing phone number from your current carrier to another carrier or platform. The phone number stays the same; only the system that manages incoming calls changes. Porting typically requires verifying account ownership (carrier name, account number, service address, authorized contact). Timelines vary by carrier and number type.
Are there legal or regulatory considerations with porting?
Yes. Phone numbers are regulated assets. Porting requires explicit authorization from the business that owns the number and must comply with carrier and regulatory requirements. No porting occurs without documented approval.
Can I keep my existing number and also use a separate number for the AI receptionist?
Yes. Some businesses add a new phone number specifically for the AI receptionist while keeping their existing number unchanged. This is often used for testing, phased rollouts, or separating certain types of calls.
From a customer’s perspective, what changes when they call?
Usually the dialing experience stays the same. The main difference is how the call is answered. Instead of ringing indefinitely or going to voicemail, the call may be answered immediately by the AI, which can greet the caller, ask questions, route the call, or transfer it to the appropriate person or department.
How are calls escalated from the AI to a human?
If a call requires human involvement, the AI can transfer the call to your existing numbers, extensions, or call groups. If the call is not answered, it follows predefined rules (retry, route to another team, voicemail, callback, etc.) based on your preferences.
Can a caller reach a human on the same number if needed?
Yes. Even when the AI answers first, calls can be escalated back to your team using the same business number. The AI does not block access to human staff unless you explicitly configure it to do so.
What happens if the AI cannot handle a request?
If the AI encounters a situation it cannot resolve, it follows predefined escalation rules. This may include transferring the call, offering a callback, or routing the caller to voicemail.
How do I decide which setup is right for my business?
The right setup depends on your current phone system and whether you want the AI to answer all calls or only certain types. During the intake and review process, your setup is evaluated and a recommendation is made based on technical feasibility, compliance requirements, and your business goals.
What happens after I provide my phone system information?
Your information is reviewed to determine whether porting is required, optional, or unnecessary. You will be informed of the recommended approach, expected timeline, and any actions required. No changes are made to your phone number or phone system without your approval.
What happens after I submit?
You receive an email receipt (copy of what you submitted). We receive a copy of your submitted responses.
